Privacy policy

This policy explains what information Theon Services, Inc., a Delaware corporation ("Theon", "we", "us"), collects through hiretheon.com, how we use it, who we share it with, and the choices you have.
What this policy covers
This policy covers hiretheon.com, the "Schedule a call" booking form and the Cal.com scheduling page it leads to, and email you exchange with us before you become a client.
It does not cover information we handle for a client under a signed client agreement, such as sales records, tax returns or bank authorizations. That agreement governs the client's information.
We built the site for people at US companies who are considering our services for their company. It is not meant for personal or household use, and it is not directed to children.
Information you give us
Booking a call. Before you choose a time, our booking form asks for your company, its number of employees, who prepares its sales and use tax returns today, and the states where it files. Your answers are sent to us by email. We then send you to a scheduling page run by Cal.com, with those answers already filled in. On that page you choose a time and give your name and email address so that Cal.com can send you the calendar invitation. Cal.com keeps the booking details (your name and email, the meeting time, your answers, any notes or guests you add, and any reason you give for cancelling or rescheduling) and sends them to us so we can prepare for the call. If you choose text-message reminders, Cal.com also keeps your phone number.
Email and other messages. If you write to us, we keep your message, your name, your email address and anything else you choose to include.
Information collected automatically
When you visit the site, our website host, Cloudflare, receives the technical information every browser sends, such as your IP address, browser type, and the pages you request.
The booking form uses Cloudflare Turnstile to check that a person, and not an automated program, is submitting it. Turnstile reads your IP address and technical details of your browser and its connection. Cloudflare uses that information to tell people from automated programs and to improve that check, and its Turnstile privacy terms say it does not use the information to identify, profile or target you.
We use Cloudflare Web Analytics to count visits and see which pages people read. It does not set cookies or store anything in your browser, it does not identify individual visitors, and it does not follow you across other websites.
We do not use advertising cookies, advertising tags or retargeting pixels on the site.
The Cal.com scheduling page is run by Cal.com, and Cal.com's own privacy policy describes the cookies and technical information its service uses.
How we use your information
We use the information described above to:
- reply to your questions and prepare for the call you booked;
- decide whether our services fit your company, and prepare a proposal if you ask for one;
- send you email about your request and the call you booked;
- keep the site running, secure, and free of spam and abuse;
- understand how visitors use the site, in total, so we can improve it;
- meet our legal obligations and protect our legal rights.
Who we share it with
We share information only as follows.
Service providers that run parts of the site or our business for us and may use the information only to provide their service to us:
- website hosting, passing your booking answers on to our email, the bot check on the booking form, and visit counts: Cloudflare;
- scheduling calls: Cal.com;
- email: Google Workspace, which delivers your booking answers, the booking details Cal.com sends us, and your messages to our inbox. The founder of Theon reads that inbox.
Legal reasons. We may disclose information when the law requires it, or when we believe in good faith that disclosure is needed to protect our rights, your safety or the safety of others.
A change in ownership. If Theon is involved in a merger, acquisition, financing or sale of assets, information may pass to the other party under the same protections this policy gives.
We do not sell your personal information. We do not share it with anyone for advertising that is based on your activity across other websites.
Tracking across other websites and Do Not Track
We do not track you across other websites, and we do not allow other parties to collect information about your activity across websites when you use hiretheon.com. Because we do no cross-site tracking, the site does not change its behavior when your browser sends a Do Not Track or Global Privacy Control signal.
Email from us
We do not send marketing email. We email you only to reply to your messages and about a call you booked or an agreement you sign with us. If we decide to send marketing email, we will first update this policy, and every marketing email will include a link to unsubscribe and our postal address.
How long we keep information
- Booking answers, booking records and messages from people who do not become clients: two years after our last contact with you, then we delete them, including the booking record held in our Cal.com account.
- Cloudflare Web Analytics keeps only visit counts that do not identify you.
- If your company becomes a client, its client agreement governs what we keep after that.
We may keep information longer where the law requires it or to resolve a dispute.
How we protect information
We limit access to the people at Theon who need it to do their work, and we use service providers that protect data in transit with encryption. No method of sending or storing information is completely secure, and we cannot promise that information will never be accessed without permission.
Your choices and requests
You can ask us to:
- tell you what personal information we hold about you;
- correct information that is wrong;
- delete your information, unless we must keep it by law.
Send your request to [email protected]. To make sure we give information only to the right person, we reply to the email address we have on file and ask you to confirm the request from that address. We respond within 30 days of receiving your request.
You may also have rights under the privacy law of the state where you live. Contact us at the same address to use them.
Where we store information
We are based in the United States, and the site and our services are for companies in the United States. Our service providers store information in the United States and may also process it in other countries. Cloudflare stores information primarily in the United States and the European Economic Area. Google may process email in any country where Google or its subprocessors have facilities. Cal.com processes data in the United States, and its privacy policy says some of its subprocessors process data elsewhere.
Children
The site is for people acting for their companies. It is not directed to children under 18, and we do not knowingly collect information from them. If you believe a child has given us information, contact us and we will delete it.
Changes to this policy
When we change this policy, we post the new version on this page with a new "Last updated" date. If a change materially affects how we use information you have already given us, we will also email you at the address you gave us before the change applies to that information.
